InTune Private Lessons Studio Policies 2017/2018


PAYMENT

Please see our RATES page or visit intunewindsor.com/rates for our current fees.

Pre-authorized payments can be provided in one of two ways:

  • Providing post-dated cheques addressed to In Tune Music Services at the time of registration for the remainder of the year
  • Saving your credit card number in MyMusicStaff (this is secure/encrypted and cannot be viewed by us) and enabling AutoPay. You will be billed on the first day of each month or term, depending on your payment schedule.

LATE/MISSED PAYMENT POLICIES

Payments are due on the following schedule:

  • September 1st for annual payments
  • September 1st and February 1st for biannual payments
  • The 1st of each month (September – June) for monthly payments.

In the case that a payment has not been received by the due dates, or a cheque or credit card payment is declined for any reason, lessons will be frozen until payment has been reconciled. If the student shows up to a lesson when the account has an unpaid balance, the student will be sent home without a lesson.


ATTENDANCE/MISSED LESSON POLICIES

All cancellations will be done by notifying your private teacher directly through phone/text/email. You may also cancel a lesson through the online calendar. We appreciate having as much notice as possible for cancellations.

  • Student cancellations or missed lessons will not be made up under any circumstances.
  • If your teacher needs to be away for your lesson, a qualified substitute teacher will teach you in your regularly scheduled time, or the lesson will be rescheduled by your teacher.

**Please note: when you sign up for lessons, you are reserving a block of your teacher’s time and are responsible for providing payment in full, regardless of how many lessons are missed. Our policies are in place to ensure all of our teacher are paid consistently and fairly and so that we can continue to run a sustainable business.


LATE ARRIVALS AND LESSON LENGTH

If the student arrives late to their lesson, the lesson will still end on time to keep subsequent lessons on schedule. Up to 5 minutes may be taken by the private teacher at the end of a lesson for turnaround time (using the washroom, communicating with families, etc).


PERFORMANCE GROUP CLASSES

Two or more group classes specific to each student’s age/instrument will be held at no extra charge to all students over the course of each year. These classes will typically be held prior to our Christmas and year-end recitals to help students prepare by performing their song(s) for other students in the studio, reviewing performance etiquette, etc. Sign up through MyMusicStaff.


DROP OFF/PICK UP

We are located on Ottawa Street in a semi-commercial area with a high volume of traffic. We highly recommend coming into the studio for drop off and pickup. We cannot be responsible for your child’s safety after they leave the studio.

Please respect that we are music teachers and not babysitters. You are welcome to drop off your child up to 15 minutes early for their lesson, knowing that they may be unattended while they wait, but we expect you to be on time for pickup.


INCLEMENT WEATHER POLICIES

Please check our Facebook page for updates during bad weather. We will contact you by phone if the weather necessitates studio closure. Morning bus cancellations may not necessitate the cancellation of afternoon/evening lessons. In the unlikely chance that studio is closed, please contact your teacher request to hold the lesson via Skype or phone, otherwise the lesson is forfeited.


HOLIDAYS

The studio will be closed on all statutory holidays, for March Break, and for two weeks over Christmas Break. Please log in to your account to view the calendar for closures.


BOOKS AND MATERIALS

Our rates are based on lessons and do not include materials. You may required to buy your own books online or through a retailer, or your teacher may volunteer to purchase books for you and be reimbursed by you.

We also have an extensive lending library at the studio and will lend or photocopy materials as we see fit to save you the cost of buying new books.


DISCONTINUING LESSONS

If at any point you decide to discontinue lessons, we must receive written notice at least two weeks prior. In addition to communicating this directly to your private teacher,  please email administration at intunewindsor@gmail.com so we can close your account and stop payments. Refunds will not be given for the remainder of that month if you stop mid-month. Any held post-dated cheques for the remainder of the year will be immediately destroyed.

If you are absent from lessons for 3 consecutive weeks without explanation, we must assume you will not be returning, close your account, and open your time slot to new students.

If the student shows up to a class when the account has an unpaid balance, the student will be sent home without attending the class.


DISCOUNTS

Families of students currently enrolled in private lessons at InTune will  receive 10% off all of our group classes


ADDITIONAL FEES

A $2 per transaction processing fee will be applied to all credit card payments

  • In the unlikely event that your teacher needs to cancel the class unexpectedly, your account will be credited for the amount of one class.

EARLY WITHDRAWAL

If you need to permanently withdraw from a class, you may either:

  • Transfer the remaining classes to another participant (sibling, friend, etc.)
  • Receive a credit to your account to put towards any InTune programming

DROP OFF/PICK UP

We are located on Ottawa Street in a commercial area with a high volume of traffic. For your child’s safety, you must come bring your child into the studio for drop off and pickup. If you leave your child at the studio before or after their designated class time, please understand they may be unsupervised. Our teachers need the time before and after classes to prepare for their classes, and cannot babysit your child if you are late.


SCHEDULE

There will be 35 group classes held in the school year, from September – June. Exclusions are Monday holidays and Saturday classes that are on those 3-day weekends. The studio will be closed on all statutory holidays, for March Break, and for two weeks over Christmas Break. Please check the online calendar for all group class dates.
